We are looking for a smart and self-driven individual to join our Dubai team as an Administrative Assistant. The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.

Responsibilities

  • Answer and direct phone calls and cover the reception desk
  • Organise and schedule appointments, meetings and book conference calls, rooms, taxis, couriers, hotels, restaurants, etc.
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, and forms
  • Assist in the preparation of regularly scheduled reports
  • Order office supplies
  • Submit and reconcile petty cash expense reports
  • Handle multiple projects
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Handle sensitive information in a confidential manner
  • Develop and update administrative systems to make them more efficient
  • Maintain up-to-date employee holiday records
  • Greet and assist visitors to the office
  • Conduct data entry

Key Requirements

  • Have excellent interpersonal (written and verbal) skills, having a positive, pleasant and energetic personality
  • Bachelor's degree or equivalent experience
  • Ability to multitask
  • Proficient in Microsoft Office suite
  • Fluent in English

Preferred Qualifications

  • Intermediate French
  • Experience in the field
